Leaving RoboVet, Teleos or RxWorks? What does switching to Vivetra involve?
Updated November 2026. Every competitor claim links to its public source.
The short answer
Teleos has been doing this since 1997 1 and Merlin comes from MWI Animal Health UK 2. If you want a long track record and a UK-based supplier, both are reasonable places to stay or go.
Vivetra is a new practice management system: £200/mo +VAT for your first service and £50/mo +VAT for each extra one, with unlimited vets and staff, no contract, and the server run for you. Your practice gets its own dedicated server, hosted in the United States under UK GDPR transfer safeguards. There’s no automated importer for RoboVet, Teleos or RxWorks data: we move your records by hand, free for Founding Clinics, and quoted per system for everyone else. Some UK paperwork, written POM-V prescriptions for example, isn’t built yet. Both are covered below.
Side by side
RoboVet and RxWorks are left out of the table: we couldn’t read a live UK page for either on November 3, 2026.
| Teleos | Merlin | Vivetra | |
|---|---|---|---|
| Deployment | FAQ: "Teleos can either be run in a cloud or via a local server(s)"; practices can buy it outright or rent it; no price published 3 | "the cloud-based veterinary software providing everything you need to engage with your clients", "powered by the veterinary expertise of MWI Animal Health"; calls itself the "No. 1 UK veterinary software" (vendor claim); no price published 2 | Your own dedicated server in the US, managed for you |
| Ownership | "The Company continues to be privately owned, as we greatly value our Independence." 4 | describes itself as "a part of Cencora" (press release, August 20, 2025) 5 reported on August 6, 2026 that the FTC was taking a closer look at "the proposed $3.5 billion combination of Cencora's MWI Animal Health and Covetrus" 6 | Independent, new vendor |
| Track record | self-described as "the UK and Ireland's largest independent supplier of practice management systems", "at the forefront of veterinary practice management since 1997" 1 | Calls itself the “No. 1 UK veterinary software” (vendor claim) 2 | New, and we say so |
| Published price | No price published; buy outright or rent 3 | No price published 2 | £200/mo +VAT first service, +£50/mo +VAT each extra; unlimited staff |
| Data conversion | FAQ: "We have never not been able to convert a practice's data" 7 | Not stated on the page we read | No automated importer. We move your records by hand, free for Founding Clinics, and quoted per system for everyone else. |
Stay with an established supplier if
decades of UK track record, on-site training, written POM-V prescriptions or an accounting integration matter more to you than the price shape.
Look at Vivetra if
you want one flat price however many vets you employ, no server in the practice to look after, and you’d rather click through a demo clinic than sit through a sales call.
Switching from RoboVet, Teleos or RxWorks
Moving off your old system is the scary part, so we do it. You check everything in a copy before anything goes live. Free for Founding Clinics; for everyone else we quote per system.
- Export from your current system. We send written steps for yours.
- We load it into your own Vivetra server.
- You look it over in a test copy, at your own pace.
- Go live on a quiet day you pick.
Who this page is for
UK and Irish practices running an established, often server-based system who are weighing a move. That usually means one of these:
- RoboVet. We couldn’t load a live vendor page describing RoboVet’s current deployment options or pricing, so we state no RoboVet facts here. Check them with your account manager.
- Teleos. Teleos calls itself “the UK and Ireland’s largest independent supplier of practice management systems”, in veterinary practice management since 1997 1, and says it “can either be run in a cloud or via a local server(s)” 3.
- RxWorks. Covetrus’s current RxWorks page is written for Australia and New Zealand 8. If you’re a UK practice still on it, ask Covetrus what support looks like for you.
- Merlin. MWI Animal Health UK says it is “a part of Cencora” 5, and trade press reported in August 2026 that a proposed combination of Cencora’s MWI Animal Health and Covetrus was under FTC review 6. If that matters to your choice, check the deal’s current status.
- Vet Radar. If you use it for hospital sheets, its documentation says it “automatically syncs clinical care information with ezyVet” 9, and IDEXX lists ezyVet as its practice management integration 10. Vivetra’s Hospital service has its own treatment sheets, with limits we spell out.
What you get with Vivetra
- One flat price. £200/mo +VAT covers your first service: General Practice, Hospital, Equine, Livestock, Shelter, or Boarding & Grooming. Each extra service is £50/mo +VAT. Unlimited vets, nurses and reception staff. No contract.
- A dedicated server per practice, fully managed. Your data never shares a database with another practice. We run the server, patch it and take nightly encrypted backups.
- Prescribing cascade for GB and IE. Prescriptions in a UK or Irish deployment carry a required cascade-tier selection, recorded on each prescription.
- Controlled drugs register with stock counts and witnessing.
- RCVS and Home Office credential tracking for your team.
- Invoicing and card payments in pounds (euros for Irish practices). Clients pay invoices and estimates online through your practice’s own Stripe account. You keep your Stripe relationship and rates; a 1% Vivetra fee per online payment applies on top.
- Client portal. Clients see records, pay bills and estimates, request appointments and refills, and sign forms.
- Your data, exportable at any time. The practice owner can download a complete copy (every table plus attachments) from inside Vivetra, without asking us.
Where your data lives (UK GDPR)
All Vivetra data is hosted in the United States, whichever country you’re in. For a UK practice that’s an international transfer. For the client and patient records your staff enter, your practice is the controller and Vivetra is the processor under an Article 28 UK GDPR data-processing agreement. We rely on the EU Commission’s 2021 Standard Contractual Clauses with the ICO’s UK Addendum attached, plus a Transfer Impact Assessment. The ICO confirms that "using the Addendum lets you rely on the EU SCCs for your restricted transfers under the UK GDPR" 11.
Irish practices are covered by the same 2021 SCCs (Module Two) and a Transfer Impact Assessment under the EU GDPR. Full details are in our privacy policy.
Honest limits for UK switchers, today
- No automated import from RoboVet, Teleos or RxWorks. There’s no importer for any other vendor’s data. We move your records by hand, free for Founding Clinics, and quoted per system for everyone else. Talk to us before you commit so we can agree what comes across.
- VAT only on General Practice invoices. General Practice invoices apply your VAT rate line by line. Equine and Boarding & Grooming invoices can’t carry VAT yet, and there’s no VAT registration number field on invoices.
- No written POM-V prescriptions yet. The cascade is recorded, but there’s no legal-category field and no printable written prescription.
- UK controlled-drug schedules aren’t preloaded. The register works, but your team assigns each drug’s schedule.
- No accounting integration. No Xero, Sage or QuickBooks sync.
- US-style dates on many screens, and no British-English spellchecker yet.
- No native app. Vivetra installs as a web app (PWA) on phones and tablets.
- No saved cards in General Practice. Clients pay the full balance online; there’s no card on file to charge later.
- We’re new. Teleos has been doing this since 1997 1. We haven’t.
Questions people ask
Is there a RoboVet alternative that isn’t priced per user?
Vivetra charges a flat £200/mo +VAT for the first service, with unlimited vets and staff, and £50/mo +VAT for each additional service. Headcount doesn’t change the price.
Can Vivetra import my RoboVet or Teleos data?
There’s no automated importer. We move your records across by hand, free for Founding Clinics, and quoted per system for everyone else, and you check everything in a test copy before going live. Get in touch before switching and we’ll agree what comes across.
Is Vivetra UK GDPR compliant if the data is in the US?
Your data is hosted in the United States. We cover that transfer with the EU’s 2021 Standard Contractual Clauses plus the ICO’s UK Addendum and a Transfer Impact Assessment, under an Article 28 data-processing agreement where your practice is the controller.
Does Vivetra handle the prescribing cascade?
Yes. UK and Irish deployments record a cascade tier on every prescription. Written POM-V prescriptions aren’t built yet.
Can I get my data out if I leave?
Yes. The practice owner can download a full export of every table plus attachments at any time, without asking us.
Is there a contract?
No. You pay monthly and can cancel any time.
Do I need to run a server in the practice?
No. Each practice gets its own dedicated server, and we run it for you.
